We are seeking a highly organized and detail-oriented Project Coordinator to join our dynamic team at Westmark. The Project Coordinator will play a crucial role in ensuring the successful execution of construction projects from inception to completion. This individual will be responsible for coordinating various aspects of project planning and execution, facilitating communication between stakeholders, and ensuring adherence to project timelines and budgets.

Responsibilities Include:

Project Planning and Coordination:

  • Assist in the development of project plans, including scope, schedule, and budget.
  • Coordinate with project managers to establish project milestones and deadlines.
  • Monitor project schedules and adjust timelines as needed to ensure timely completion.

Schedule Management:

  • Assist in developing and maintaining project schedules, ensuring timely completion of tasks and adherence to deadlines.
  • Assist in monitoring project progress and adjusting schedules as necessary to accommodate changes and delays.
  • Coordinate with subcontractors and suppliers to ensure timely delivery of materials and services.

Quality Assurance and Control:

  • Monitor construction activities to ensure adherence to quality standards, safety regulations, and building codes.
  • Conduct site inspections and collaborate with inspectors to address any issues or deficiencies.
  • Ensure all necessary permits and approvals are obtained and maintained.

Communication and Coordination:

  • Maintain effective communication with all stakeholders, including internal teams, subcontractors, and regulatory agencies.
  • Facilitate regular project meetings and prepare minutes, ensuring action items are tracked and completed.
  • Address and resolve project-related issues and conflicts in a timely manner.

Documentation and Reporting:

  • Maintain comprehensive project documentation, including contracts, change orders, and correspondence.
  • Prepare and submit regular project status reports to management and stakeholders.
  • Ensure all project documentation is compliant with company policies and industry regulations.

Procurement and Resource Management:

  • Coordinate procurement of materials and equipment in alignment with project requirements.
  • Assist in managing subcontractor relationships, including selection, contracts, and performance monitoring.
  • Track project expenses and assist in budget management to ensure financial targets are met.

Risk Management:

  • Assist in identifying potential project risks and developing mitigation strategies to minimize impact.
  • Assist in addressing and resolving issues that may arise during the construction process, including unforeseen challenges and changes in scope.

Documentation and Administrative Support:

  • Assist in maintaining accurate and up-to-date project documentation, including contracts, change orders, and progress reports.
  • Ensure all necessary permits and approvals are obtained and kept current.
  • Assit in compiling final project reports and documentation upon project completion.
  • Provide administrative support to the project management team, including scheduling, correspondence, and filing.
  • Assist with the preparation of project bids and proposals as needed.
  • Perform other duties as assigned to support project success.
Requirements Include:

Education and Training:

  • A degree in Construction Management, Civil Engineering, Architecture, or a related field, or a combination of qualification and work experience.

Experience:

  • Minimum of 2 years of progressive experience in construction management coordination or related role.

Skills:

  • Strong knowledge of construction processes, techniques, and building codes.
  • Proficiency in project management software (e.g., Procore, MS Project) and Microsoft Office Suite.
  • Excellent organizational and communication skills.
  • Strong problem-solving skills and attention to detail.

Working Conditions

  • Physical Requirements: Ability to visit construction sites and inspect work conditions. Occasional lifting of materials or equipment may be required.
  • Travel: Occasional travel to project sites and meetings may be necessary.
  • Hours: Full-time position, with potential for extended hours or weekend work depending on project demands.
Compensation:
  • $60,000 – $70,000 Salary commensurate with industry experience.
